Start from how many families and which ages

Every later decision rests on two numbers: how many families register and which age groups the children belong to. Use class lists, then send parents a short form asking how many people each family is bringing and how many children will join in. With those numbers you know how many tables, how many people to staff the stations and how many artists to book.

If many of your parents read English more easily than Vietnamese, send the form in both languages. You can talk with us in English or Vietnamese, so the parent committee can message in whichever is easier.

Activity stations and the order to open them

Splitting the grounds into small stations lets families move in a loop instead of crowding in one spot. One layout to consider:

• Welcome and check-in station: opens first, at the gate.
• Face and hand painting station: open it early because queues need time. We run this one.
• Game, colouring and craft stations: run by teachers and parent volunteers.
• Circus or magic act: our partner team, at 800,000₫ per hour.
• Bubble show: also a partner team, and it needs open floor.

The game and craft stations are suggestions for the school to run, not services we provide. Place the painting station a little away from the gate, near where parents sit.

The face painting station: artists per child

The figure to plan with is an estimate: each artist paints roughly 10 to 15 faces an hour, depending on the design. The formula: children who want a design, divided by 10 to 15, divided by the hours the station is open. We send up to 5 artists for a large event.

Estimated capacity over 2 hours:

• 1 artist: about 20 to 30 faces
• 2 artists: about 40 to 60 faces
• 3 artists: about 60 to 90 faces
• 4 artists: about 80 to 120 faces
• 5 artists: about 100 to 150 faces

For example, 90 children who want a design over 2 hours: 90 divided by 10 to 15, divided by 2, gives about 3 to 5 artists. Public prices are 500,000₫ for 1 hour and 900,000₫ for 2 hours. Playground, hall and a plan for rain

An outdoor table needs a shaded spot. The school provides 1 table and 2 chairs, and with several artists, ask us how many more are needed. If it rains, the painting station moves indoors, so choose a hall or multipurpose room while planning and tell parents where the backup is.

For visitor flow, walk the route of a family with a stroller: gate, check-in, painting, games, exit. Wherever it jams, move a station. For the school's own rules on using the grounds or halls, ask the school leadership directly.

What teachers and parents each take on

Teachers know the children, so they suit directing queues by class and noticing which child needs attention. Parent volunteers suit the game stations, water and photos. We handle the painting, and the organisers should name one contact person for the day.

Tell us before booking if a child has sensitive skin. We cannot promise every colour suits every child, so add a line about it to the form. Children can also choose a design before booking.
